We do not sell or install heat pumps, which means our advice on an existing system is independent: we service it, fix it, and set the controls up so it runs at the low flow temperatures a heat pump needs to be cheap to run. Work is carried out by REFCOM F-Gas certified engineers, every visit ends with a written report, and heat pumps can sit on the same planned maintenance contract as your boilers, air conditioning and HIUs.

Signs Your Heat Pump Needs a Service or Repair
Most of the heat pumps we are called to are not broken. They were never set up properly. These are the usual reasons people call.
- Heat pump running constantly but the property never gets warm
- Electricity bills far higher than the installer promised
- Outdoor unit icing up and not defrosting
- Error codes, lockouts or the unit tripping the supply
- Lukewarm or inconsistent hot water
- Noisy fan, compressor or vibration through the wall
- Radiators or underfloor heating heating unevenly
- Controls that tenants cannot understand or keep overriding
How Often Should a Heat Pump Be Serviced?
An air source heat pump should be serviced once a year, and most manufacturers make an annual service by a competent engineer a condition of the warranty, which typically runs for 5 to 7 years.
The annual service covers the outdoor unit (coil cleaning, fan, defrost operation, refrigerant charge check where the system is above the F-Gas threshold), the wet side (strainers, glycol or inhibitor levels, expansion vessel pressure, pump and valve operation), the hot water cylinder (immersion, coil, legionella cycle) and the controls (heating curve, schedules, error log). Landlords should keep the service report with the gas safety and electrical paperwork, because a heat pump is part of the heating installation the tenant relies on. Ground source systems follow the same annual cycle with the ground loop pressure and antifreeze concentration checked as well.
Why Is My Heat Pump So Expensive to Run?
Nine times out of ten the flow temperature is set too high, weather compensation is switched off, or the hot water and heating schedules are fighting each other, so the unit is running like an electric boiler instead of a heat pump.
A heat pump is efficient because it moves heat rather than making it, and that efficiency collapses as the flow temperature rises. A system set to 55°C flow all winter can cost double what the same system costs at 35 to 40°C with weather compensation doing the work. Other common causes are an undersized emitter circuit that forces high temperatures, a buffer vessel piped wrongly so the heat pump short cycles, immersion heaters running as the main hot water source because the cylinder sensor has failed, and defrost cycles triggering constantly because the outdoor coil is blocked. All of these are found and fixed on a service and optimisation visit rather than by replacing the unit.
Can a Heat Pump Be Connected to a BMS or Smart Controls?
Yes. Most residential and commercial heat pumps expose Modbus, a volt-free demand input, or a manufacturer interface that can be integrated with a building management system or third-party controls, and we install and commission that integration.
In blocks this is how a communal heat pump talks to the plant room controls and the heat interface units in each flat, so the network runs at the right temperature and the operator can see faults before residents ring. In single properties it means the heat pump follows a proper compensated schedule rather than an on-off thermostat that kills its efficiency. Do You Install Heat Pumps?
No. We service, repair and optimise heat pumps and we install and service gas boilers, but we do not sell or install heat pumps, so we have no interest in telling you to replace a system that can be fixed.
If your heat pump is beyond economic repair we will say so in writing and you can take that report to an MCS certified installer.
