For Managing Agents and Block Managers

Maintenance Contractor for Managing Agents in London

Fewer contractors, fewer resident emails, and a report you can forward to the directors the same day. We look after the plant and the paperwork so you can look after the block.

Block survey first. Condition report and per-unit quote within 48 hours.

What Mainteniq Does for Managing Agents

Mainteniq is one maintenance contractor for managing agents across a portfolio of London blocks. We service HVAC, heat interface units, fan coil units, MVHR, BMS and communal heating, keep the compliance certificates in date, and send a photographed report for every flat that you can forward straight to directors or leaseholders.

One programme

Every block, every system, one schedule and one point of contact.

Evidence per flat

Photographed PDF report emailed the same day as the visit.

Same-day target

Too Many Contractors Across Your Blocks?

Most managing agents we speak to have one firm for the boilers, another for the HIUs, a third for the air conditioning and someone else again for the certificates.

  1. Each has its own booking process, its own invoice format and its own idea of what a report looks like.
  2. When a fault crosses two systems, the firms point at each other while the resident waits.
  1. As a single building maintenance contractor in London, we take the plant room, the riser and the equipment inside each flat onto one programme, so there is one number to call and one engineer who follows a fault from start to finish.

Nothing to Show When Leaseholders or Directors Ask?

A leaseholder asks what the service charge paid for, or a director wants proof before the AGM, and all you have is an invoice and a photo on someone's phone.

  1. Every job we do is completed on site in Maintivo, our job management system.
  2. That means a photographed PDF report for each flat, emailed the same day, with readings, work done and anything that needs quoting.
  1. At the end of each programme you also receive a block summary written for the board rather than for an engineer.

Residents Chasing You About Heating and Hot Water?

The first cold week of autumn is when lukewarm hot water and dead radiators turn into a full inbox.

  1. In blocks on communal heating, most of those complaints trace back to heat interface units that have not been serviced, with blocked strainers and drifting valves.
  2. Planned maintenance for managing agents moves that work to before the heating season, so the recurring faults are found and budgeted rather than reported by residents.
  1. When something does fail, you pass it to us and we deal with the resident directly, then send you the report.

Struggling to Get Access to the Flats?

Getting an engineer through eighty front doors is the hardest part of any block programme.

  1. We agree the access plan with you before the first visit. Some agents prefer their own team or the concierge to notify residents, while others ask us to send the notices and book the time slots.
  2. Flats we cannot reach are logged with the date and the notice given, which is the record you need under the lease, and they are rebooked in a mop-up visit so the programme ends with every unit accounted for.

Will a Contract Fit Section 20 and the Service-Charge Budget?

A qualifying long-term agreement (over 12 months) where any leaseholder would pay more than the statutory threshold in a year needs consultation under Section 20 of the Landlord and Tenant Act 1985.

  1. Our standard term is 12 months, reviewed quarterly, so most blocks fall outside it.
  2. We quote per unit, so you can check the per-leaseholder figure at once.
  1. Where the block prefers a longer agreement, we supply the itemised quote and specification the consultation needs.
  2. We do not publish prices, because every block is different: the quote follows a survey and is fixed for the year before it starts.

Is Compliance Consistent Across the Whole Portfolio?

Compliance gaps usually appear between contractors, not within them.

  1. We arrange the Gas Safety Certificate (CP12) through Gas Safe registered engineers, along with the EICR, PAT testing for communal appliances, TM44 air-conditioning inspections where cooling is over 12kW, and F-Gas leak checks under our REFCOM company certification.
  2. Every certificate goes into one renewal tracker across your blocks. We do not carry out fire risk assessments, so those stay with your fire safety specialist. See our compliance certificates page for the full list.

Are Your Heat Network Blocks Ready for Regulation?

From 27 January 2026, heat networks are regulated by Ofgem, and existing operators and suppliers must register by 26 January 2027.

  1. For many managing agents that means the communal heating in their blocks now needs evidence behind it: a list of assets, their condition and a record of how they are maintained.
  2. Our per-unit HIU reports and plant-room records give you that evidence, block by block.

Taking On a New Block Mid-Year?

New instructions rarely arrive at a convenient time.

  1. We start with the survey, which also records what the previous contractor did and did not leave behind.
  2. Units with no service history are treated as due now, and the first programme runs from the next sensible date, usually before the heating season.
  1. You get a condition report you can put in front of the new directors in the first month, which is often the first clear picture they have had of the plant.

What Happens When Something Fails?

No heating, no hot water or a leak from a unit above: these cannot wait for the next planned visit.

  1. Blocks on a programme get priority on our emergency line, with a same-day emergency response target across London.
  2. The engineer who attends already has the block history in Maintivo, so the fix is quicker and the report reaches you the same day. See emergency HVAC repair in London.
For Managing Agents

What You Get as a Managing Agent

Property maintenance for managing agents, built around the questions your directors and leaseholders actually ask.

One contractor across the portfolio

HIUs, communal heating, fan coil units, MVHR, BMS and certificates for every block you manage, under one programme and one point of contact.

A photographed report per flat

Every job is completed on site in Maintivo, so a photographed PDF report is emailed the same day, ready to forward.

A block summary for the board

Units done, no access, faults by pattern, replacements in priority order and the next due date, written for directors and leaseholders.

A renewal tracker

Certificate expiry dates across your blocks in one list, so nothing lapses between AGMs.

Access handled with you

Notices, time slots and a mop-up visit for flats we could not reach, all agreed before the first day on site.

Same-day emergency response target

Blocks on a programme get priority when heating or hot water fails, from an engineer who already knows the building.

Onboarding

How Onboarding Works

Four steps from first call to first report. The survey is the only one that needs your time.

  1. 1

    Block survey

An engineer walks the block with you or the concierge, photographs the plant room and a sample of flats, and lists every asset.

  2. 2

    Condition report and per-unit quote

Within 48 hours of the survey: a written condition report and a quote itemised per unit, ready to put to the directors.

  3. 3

    Programme

Access plan agreed, visits booked flat by flat, communal plant serviced on the same schedule.

  4. 4

    Reports

Per-flat reports the same day, then a block summary and an updated renewal tracker when the programme closes.

One PPM Contractor or Several?

The same blocks and the same budget, run two different ways.

What Can You Send the Board After Each Programme?

Three documents, in the same format for every block you manage.

  1. The block summary lists units completed, flats with no access and their rebooked dates, faults grouped by pattern, and replacements in priority order with a budget indication.
  2. The per-flat report is photographed and emailed the same day as the visit.
  1. The renewal tracker shows every certificate and its expiry date across the portfolio, so you can plan the next year before the current one ends.

Digital reports, not paperwork

A photographed PDF report after every flat visit

No handwritten job sheets and no chasing. Our engineers complete each job electronically on site in Maintivo, our job management system, so the report is built as the work happens: photos, readings, work done and recommendations.

You receive it as a digital PDF by email the same day, with certificates attached where they apply, ready to forward to a landlord, a freeholder, the directors or an insurer.

  • Before and after photosEvery unit and fault photographed on site
  • Readings and checksTemperatures, pressures and test results recorded
  • Work done and next stepsWhat was fixed, what needs quoting, when we return
  • Sent the same dayDigital PDF report by email, ready to forward

From the plant room to the last flat. Our engineers hold SAV Advanced HIU Service Engineer certification (PERS-30839), NICEIC Domestic Ventilation DV-02, HIU training from Herts Energy Academy and BMS controls training from Innotech and Uxbridge College.

The annual figure is agreed before the year starts, and repairs beyond the service are quoted separately and approved by the agent before any work. From 27 January 2026 heat networks are regulated by Ofgem, and existing operators and suppliers must register by 26 January 2027. Blocks on communal heating will need evidence of their assets, condition and maintenance. Our per-unit HIU reports and plant-room records provide that evidence block by block.
